This Privacy Policy describes how KnowQo LLC doing business as KnowQo (“Company,” “we,” or “us”) collects, uses, and shares information about you when you access or use KnowQo.com and the applications, content, and services we offer (the “Service”). It is incorporated by reference into our Terms of Use. By using the Service, you agree to the practices described in this Policy. If you do not agree, you must not use the Service.
Information We Collect
We collect the following categories of information:
- Account information — such as your name, email address, password, and profile photo when you register or are added to an organization.
- Organization information — such as your organization’s name, logo, banner image, website, and the members associated with it.
- Training and compliance data — such as the courses and exams a team member completes, the certificates they earn, and the dates those credentials are issued.
- Content you provide — such as messages, posts, and other materials you submit through interactive features of the Service.
- Usage and device information — such as log data, IP address, browser type, pages viewed, and interactions with the Service, collected automatically through cookies and similar technologies.
- Payment information — processed by our third-party payment processor. We do not store full payment card numbers on our systems.
How We Use Your Information
We use the information we collect to:
- Provide, operate, maintain, and improve the Service.
- Create and manage accounts, certificates, and organization records.
- Display compliance and credential information as described in “Compliance Data” below.
- Communicate with you about the Service, including support and administrative messages.
- Monitor and analyze usage, prevent fraud and abuse, and secure the Service.
- Comply with legal obligations.
Compliance Data
KnowQo is built on the principle that compliance is most meaningful when it can be seen and verified. As described in our Terms of Use, participation in our compliance data practices is a standard part of using KnowQo. By default, certain information relating to an organization’s training and compliance activity—including the names of team members who hold current credentials, the certificates they have earned, and the dates those credentials were issued—may be displayed publicly on the organization’s public record page, and may be indexed by search engines and other third parties.
Where KnowQo makes visibility controls available within the application, an organization administrator may adjust which of this information is shared. If you are a team member and wish to change how your credentials are displayed, contact your organization administrator or us at the address below. Because publicly displayed information may be cached or indexed by third parties, we cannot guarantee its removal from those third parties after a change is made.
How We Share Your Information
We do not sell your personal information. We share information in the following circumstances:
- Within your organization — with administrators and members of an organization you belong to, as needed to operate the Service.
- Publicly — as described in “Open Health Data” above.
- Service providers — with vendors who process information on our behalf, such as our cloud database and authentication provider (Supabase), image hosting provider (Cloudinary), product and usage analytics providers (such as Google Analytics and LogRocket), and our payment processor. These providers may only use the information to perform services for us.
- Legal and safety — when we believe disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of KnowQo, our users, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets.
Cookies and Analytics
We and our analytics providers use cookies and similar technologies to operate the Service, remember your preferences, and understand how the Service is used. You can usually adjust your browser settings to refuse cookies, though some features of the Service may not function properly as a result.
Data Retention
We retain personal information for as long as your account or organization is active, and thereafter as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Certificate records may be retained to support the integrity and verifiability of issued credentials.
Data Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee the absolute security of your information.
Your Choices and Rights
You may access and update certain account information through the Service. Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information. To exercise these rights, or to ask a question about how your information is handled, contact us at the address below. We will respond consistent with applicable law. Organization administrators control the public display of team credentials through the settings available in the application.
Children’s Privacy
The Service is intended for users who are 18 years of age or older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
Geographic Scope
KnowQo is based in the State of Tennessee in the United States and provides the Service for use by persons located in the United States. If you access the Service from outside the United States, you do so on your own initiative and are responsible for compliance with local laws.
Changes to This Policy
We may update this Privacy Policy from time to time. All changes are effective when we post them, and your continued use of the Service following the posting of a revised Policy means that you accept the changes. You are expected to check this page periodically so you are aware of any changes.
